Privacy Policy
How VIP Transfers Ltd uses information for enquiries, bookings, customer accounts and this website.
Last updated: 18 October 2026
Who we are
VIP Transfers Ltd is responsible for the customer and website information described in this notice. You can contact us about your information using the email, telephone number or registered address below. This notice covers enquiries, customer accounts, bookings and use of our website.
We receive information from you and, where someone books on your behalf, from your travel agent, hotel, company, booking platform or lead passenger. If you provide another traveller’s details, please make them aware of this notice.
Information we use
This can include your name, email and telephone number; pickup and destination addresses; dates, times and flight or cruise details; passenger numbers, children’s ages where needed for suitable seats, luggage and assistance requests; account details; correspondence; booking references, prices and payment status.
Our website and service providers also process technical information such as IP addresses, browser and device information, security logs and, when you accept analytics, page visits and booking-attribution identifiers. Payment card details entered at Stripe Checkout are handled by Stripe; our website does not ask you to send card numbers in enquiry forms, email or WhatsApp.
Please provide only information needed to arrange your journey. Describe practical assistance needs rather than sending medical records, identity documents or unnecessary sensitive information.
Why we use it
We use enquiry and booking information to answer questions, provide quotes, arrange and manage journeys, contact travellers, take or reconcile payment and handle changes. For the person booking, this is to take requested steps before a contract and perform the booking agreement.
Where a company, agent or lead passenger books for others, we use the traveller information needed for our legitimate interest in delivering the requested transport and keeping passengers informed. We also have legitimate interests in service administration, preventing misuse, resolving complaints and protecting our systems.
We use records where necessary to meet accounting, licensing and other legal obligations. Optional website analytics and advertising measurement rely on your cookie choice. You can decline them and still enquire or book. Supplying contact details for a booking is not an agreement to receive unrelated marketing.
Processing outside the UK
Our website infrastructure uses Amazon Web Services in the United States. Payment, email, mapping, security and analytics providers may also process information outside the UK, depending on the service.
The relevant provider’s data-protection terms describe its processing locations and transfer arrangements. You can contact us for information about the providers used for your booking and the applicable international-transfer protections. Provider privacy information is linked below.
How long information is kept
Retention depends on the purpose and type of record. Enquiry information is needed while we respond and deal with related follow-up. Booking, payment and correspondence records may need to be kept after a journey for licensing and accounting obligations, complaints, refunds or legal claims.
The criteria are whether the enquiry or booking is still active, whether a record is required for those obligations, and whether an unresolved complaint or claim requires it. This notice does not promise automatic deletion after a fixed number of days. Contact us to ask about the retention of a particular record or to request deletion, subject to any continuing requirement to keep it.
Your choices and rights
Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction or a portable copy, and you can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it; this does not change the lawfulness of earlier processing.
Contact info@viptransfers.uk to make a request. We may need to check your identity before releasing or changing information. You can also complain to the Information Commissioner’s Office (ICO), the UK data protection regulator.
Journey details and a way to contact you are needed to arrange a booking; without the necessary information we may be unable to quote or provide the service. Automated quotes and itinerary estimates help assess a request, but layover reviews and personalised arrangements can be referred to our team.
